Never get a double booking again

Already managing clients on Calendly, Google Calendar or Outlook? Here is how to make your calendar talk to EraCoach, in about ten minutes and with nothing to install.

1. Your calendar into EraCoach

We read the hours you are already busy and stop offering them for booking. This is the direction that stops an EraCoach client booking during your Tuesday appointment.

2. EraCoach into your calendar

Sessions sold here appear in your calendar as busy time. Since Calendly reads that same calendar to detect your conflicts, it automatically stops offering those slots.

The two directions are independent and complementary. If you only connect one, you are protected in one direction only: we recommend doing both, it takes five extra minutes.

Import your calendar into EraCoach

Google Calendar publishes a private address giving read-only access to your calendar. That is what we use. It is buried in the settings, so here is the exact path.

  1. Step 1

    Open your calendar settings

    On a computer, go to calendar.google.com. In the left column, hover over the calendar, click the three dots, then "Settings and sharing".

  2. Step 2

    Scroll down to "Integrate calendar"

    Scroll to the "Integrate calendar" section at the very bottom. This is the part most people never see.

  3. Step 3

    Copy the secret address in iCal format

    Find the "Secret address in iCal format" field and click the copy icon. The address ends in .ics — that is the right format. Do not copy the public address; it only works if your calendar is public.

  4. Step 4

    Paste it into your EraCoach profile

    Coach profile, Availability tab, "I already use another calendar" panel. Tick the box, paste the address in the import field and click Connect. We test it immediately, so you know straight away whether the address is right.

  5. Outlook

    If you use Outlook

    In Outlook on the web: Settings, Calendar, Shared calendars, "Publish a calendar". Pick the calendar, choose "Can view all details", publish, then copy the ICS link.

This address grants read access to your calendar: treat it like a password. On our side we import neither titles, nor attendees, nor descriptions — only your busy periods. We re-read your calendar every 30 minutes.

Send your EraCoach sessions to your calendar

This is the direction that protects your Calendly. We publish a feed of the sessions sold here; you subscribe to it in your calendar, which Calendly already reads to detect conflicts.

    Copy your EraCoach feed

    Coach profile, Availability tab, "I already use another calendar" panel. The "Send your sessions to your calendar" block holds your personal address. Click Copy link.

  2. Step 2

    Add it to Google Calendar

    On calendar.google.com, left column, click the + next to "Other calendars", then "From URL". Paste the address and confirm. A new calendar appears with your EraCoach sessions.

  3. Step 3

    Check that Calendly takes it into account

    In Calendly, open Account, Calendar connections, and make sure the calendar you just enriched is listed among the conflict calendars. Without that, Calendly will not look at your EraCoach sessions.

Using Calendly? Two settings to check

Calendly and EraCoach never talk to each other directly. They both meet inside your Google Calendar, and that is where everything is decided. Two settings, once, and double bookings become impossible in both directions.

    Calendly must write to your main calendar

    In Calendly, open "Calendar connections" and check which calendar Calendly adds new events to. It must be your main Google calendar, the one carrying your email address. If it writes to a secondary calendar, EraCoach cannot see your Calendly bookings and may offer a slot that is already taken.

    The "EraCoach" calendar must count as a conflict

    Still under "Calendar connections", in the section listing the calendars checked for conflicts, tick the "EraCoach" calendar. Without it, Calendly ignores our sessions and keeps offering slots you have already sold here.

Frequently asked questions

  • The risk becomes very low, but it is not zero while we go through iCal feeds. Google only re-reads a remote calendar every few hours, and we re-read yours every 30 minutes. A meeting added just now can therefore take a while to block the slot on both sides. Immediate synchronisation with Google Calendar is on its way.
  • Time ranges only: start and end. No title, no attendees, no description, no location. We do not even store them. We need to know when you are busy, not what about.
  • No. Events marked as "free" in your calendar, such as birthdays and most reminders, are ignored. Only events that genuinely mark you busy are counted, and cancelled meetings are excluded.
  • They are handled correctly, including the individual occurrences you deleted. A supervision session every Tuesday will block all your Tuesdays.
  • At any time, from the same panel: the Disconnect button removes the address and every imported busy period. Your slots become bookable again immediately.
  • Yes, and it matters. Your availability defines when you accept bookings; syncing only removes from that base the hours you are already busy elsewhere. With no availability set, there is nothing to remove.
  • Yes, and it carries no risk: only open time ranges on EraCoach that you do not offer elsewhere. For example, if your Calendly offers your mornings, only open your afternoons here. No overlap, so no double booking is possible.
